Head Start Biz Solutions (“Head Start Biz,” “we,” “us”) is a business consulting firm in Norfolk, Virginia, serving Hampton Roads since 2008. This policy explains what we collect through headstartbiz.com, our intake forms, and our services, how we use and protect it, and the choices you have. It applies to this website and the services we provide to you.
Information we collect
What you give us. Our intake form asks for your first and last name, email, phone number, business name, the service you need, and a short note on how we can help. When you become a client, we may also collect what the engagement requires, such as:
- tax documents (W-2s, 1099s, prior returns, income and expense records) and Social Security or taxpayer identification numbers for you, your spouse, and dependents;
- bookkeeping, payroll, bank statement, and business records;
- business formation details, such as owners, addresses, and EINs;
- credit reports and credit history (for example, a report you open through a third-party credit monitoring service) for credit consulting;
- financial and business information needed to prepare a funding application or merchant account;
- payment details when you pay us. Card data is handled by our payment processor, not stored by us.
What is collected automatically. Like most websites, our site and its hosting provider log basic technical data such as IP address, browser type, pages viewed, and referring site. Our forms use a security check to block spam.
How we use your information
- to answer your intake, assign a consultant, and reach you by email, phone, or text about your request;
- to provide the services you engage us for, such as tax preparation, accounting, payroll, formation, credit consulting, funding, merchant accounts, websites, and lead generation;
- to schedule appointments, send documents for e-signature, and take payment;
- to meet legal, tax, and recordkeeping obligations, and to prevent fraud;
- to send updates or offers you agree to receive, which you can stop at any time.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Tax return information
Information you give us to prepare a tax return is protected by federal law (Internal Revenue Code Section 7216 and its regulations). We use it only to prepare and file your return and for related services you request. We will not use or disclose it for any other purpose, including telling you about other services or sharing it with our partner companies, unless you sign a separate written consent that meets IRS requirements. You may refuse or revoke that consent, and refusing will not affect your tax preparation. Consents for disclosure generally last one year unless the consent states otherwise.
Financial information and safeguards
Because we prepare taxes and provide accounting and financial services, we follow the Gramm-Leach-Bliley Act and the FTC Safeguards Rule. We keep a written information security program that includes access limited to staff who need it, secure upload and e-signature instead of email attachments where possible, encryption, multi-factor authentication on our systems, oversight of service providers, and a plan for responding to incidents. We share nonpublic personal information only as described in this policy or as the law allows. If a breach affecting your information occurs, we will notify you and the authorities as Virginia and federal law require.
Text messages (SMS)
If you give us your mobile number and agree to receive texts, we may text you about your intake, appointments, documents, and your account. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. You can also contact us at (757) 993-4334 or [email protected]. Consent to receive texts is not a condition of buying any service.
We do not sell, rent, or share mobile numbers or text-message opt-in data and consent with third parties or affiliates for their marketing or promotional purposes. We share mobile information only with the service providers that deliver our messages. Wireless carriers are not liable for delayed or undelivered messages.
Marketing emails from us identify Head Start Biz Solutions, include our mailing address, and include an unsubscribe link. We honor unsubscribe requests within 10 business days. Service emails about your engagement, such as documents or deadlines, will continue while you are a client.
When we share information
- Service providers that help us run the business, such as our website and CRM provider, our scheduling, e-signature, and secure document tools, our payment processor, our tax software and the IRS e-file system, and our email and text delivery providers. They may use your information only to perform services for us.
- Government agencies, such as the IRS, state tax departments, and the Virginia State Corporation Commission, when we file on your behalf.
- Lenders, funding sources, merchant processors, and credit bureaus, only when you ask us to submit an application or dispute for you.
- Partner companies named on our site, such as The Bookkepers or Irresistible Life, only when you ask for an introduction or agree to it. Each partner is a separate company with its own privacy policy. Tax return information is never shared without the IRS-required consent described above.
- Legal reasons: to comply with law, a subpoena, or a court order; to protect rights and safety; or as part of a sale or merger of our business, subject to this policy.
Cookies
Our site uses cookies and similar technology that it needs to work, such as remembering form entries and protecting forms from spam. We do not currently use advertising pixels or third-party analytics on this site. If that changes, we will update this policy first. You can block or delete cookies in your browser settings, but some features may not work.
How long we keep information
We keep information only as long as needed for the purpose it was collected and to meet legal requirements. Tax and accounting records are generally kept at least seven years, and payroll records at least four years. Intake inquiries that do not become engagements are generally deleted within three years. When information is no longer needed, we securely delete or destroy it.
Your privacy rights
You may ask us to tell you what personal information we hold about you, correct it, delete it, or give you a copy. You may also opt out of marketing at any time. Virginia residents may have additional rights under the Virginia Consumer Data Protection Act where it applies, including the right to opt out of targeted advertising, sale, and profiling, and to appeal a decision about a request. Some information we hold is governed by the Gramm-Leach-Bliley Act or must be kept by law, so we may not be able to delete it.
To make a request, email [email protected] or call (757) 993-4334. We will verify your identity and respond within 45 days. If we decline your request, you may appeal by replying to our decision with “Appeal” in the subject line, and we will respond within 60 days. If you are not satisfied, you may contact the Virginia Attorney General at oag.state.va.us. We will not treat you differently for using your rights.
Children
Our site and services are for adults and businesses. We do not knowingly collect personal information online from children under 13. A dependent’s information is collected only from a parent or guardian to prepare a tax return. If you believe a child has sent us information, contact us and we will delete it.
Links to other sites
Our site links to partner companies and other websites, including third-party credit monitoring services. Those sites have their own privacy policies, and we are not responsible for them.
Changes to this policy
We may update this policy. The effective date at the top shows the latest version. If we make a material change, we will post it here and, where required, tell you directly.
